Executive, Media Operations (Stellar Ace)

Job Purpose

 

The role will provide day-to-day operational and administrative support to Stellar Ace’s Media Operations team. The successful candidate will also proactively identify opportunities to streamline processes and drive efficiency improvements.

 

Responsibilities

 

  • Inventory Management: Oversee and maintain the bus shelter/road assets inventory – this includes campaign updating, managing campaign schedules, tracking occupancy, monitoring inventory movement etc.
  • Cross-Department Collaboration: Work closely with internal teams and external stakeholders to ensure smooth and efficient operations across all departments.
  • Vendor Coordination: Liaise with vendors for campaign installation and removal, ensuring timely and accurate execution and also monitoring the quality and condition of advertisements. 
  • Licensing and Permits: Renew necessary licenses and permits for inventory and ensure compliance with all relevant regulations.
  • Proof of Posting: Manage and verify proof of posting for campaigns, ensuring accurate documentation.
  • Addressing Client Requests and Concerns: Resolve any issues that may arise regarding the schedule, installation, or visibility of advertisements.
  • Client Coordination: Organise and coordinate client viewing.
  • Reporting and Documentation: Prepare and manage monthly reports and ensure accurate and timely documentation/paperwork.
  • Process Improvement: Proactively identify areas for operational improvement by leveraging new technologies/systems and updating of work processes/instructions 
  • Operational Support: Provide operational assistance to the team when required.

Qualifications & Work Experience

 

  • Diploma in Business, Operations or a related field is preferred.
  • 2-5 years of experience in administrative roles, with related experiences in operations support and process improvement are preferred.

  • Proficient in Microsoft Excel, Word and PowerPoint
  • Strong interpersonal skills with a pleasant demeanor and the ability to build relationships across teams and with external vendors.
  • Eagerness to learn with a proactive, curious and driven mindset
  • Organized, meticulous with the ability to multi-task and follow-through on tasks
  • Possess good spoken and written communication skills, with the ability to thrive in a fast-paced environment.
  • A strong sense of work excellence and a positive attitude towards overcoming challenges and meeting tight deadlines.
