Executive (PA), Roads

Job Purpose

The Executive (PA), Roads, will play a crucial role to support and assist President Roads in his daily duties such as managing meeting schedules, organizing meetings and appointments and arranging business travels. In addition, the EA will assist in preparing important materials & reports for meetings, drafting correspondences, and creating a business portal to update the information of the key business associates, customers and partners in Roads business. As a member of the SMRT Roads community, the EA will support in any events and operations required.

 

Responsibilities

Administrative:

  • Reporting to President, Roads and performing secretarial and administrative duties.
  • Managing business travel arrangement – arrange for flights, hotel accommodation, visa application and ground transportation
  • Helping with daily time management
  • Managing meeting cadence and schedules to ensure timely updates
  • Drafting correspondence such as emails and letters
  • Assisting in preparing materials for meetings and presentations
  • Assisting in collating and submitting monthly reports such as corporate credit card reimbursement and Buses Monthly Productivity & Incentive Bonus to relevant parties
  • Assisting in echosign submission of documents for approval 
  • Performing SAP functions to raise purchase requisition, performing goods receipts etc
  • Preparing facilities and logistics such as arranging refreshments for scheduled events
  • Providing support in Roads events
  • Liaising with external business partners & authorities (Public Transport Council /LTA)
  • Performing any other additional duties that are assigned from time to time


Operations:

  • Providing bus bridging support when required


Capabilities development:

  • Creating an online portal to update the information of the key business associates, customers and partners in Roads business.

Qualifications & Work Experience

  • At least 5-8 years of experience as a Personal Assistant to Senior Management 
  • Have experience providing administrative support to a team of professionals
  • Certification in secretarial work, office administration or related training will be an advantage.

Skills

Technical skills include:

  • Experience and knowledge in SAP system will be advantageous
  • Proficient in Microsoft Word, Excel, Powerpoint and Outlook

 

Generic skills include:

  • Strong organizational and time-management skills
  • Strong interpersonal skills to make phone calls and collaborate with other senior management personnel at C-suite level and external business professionals
  • Excellent written and verbal communication skills
  • Ability to manage internal and external correspondence
  • Ability to multitask
  • Has eye for details
  • Tactful and exercise discretion when accessing confidential information
