Job Purpose

 

The Executive / Senior Executive, Strategic Partnerships supports the planning, coordination and execution of strategic partnership initiatives, stakeholder engagement programmes, corporate visits, events, and business exchanges involving local and international organisations.

 

Working closely with internal departments, government agencies, industry partners, academic institutions and overseas counterparts to facilitate meaningful engagements that support organisational objectives. The Executive / Senior Executive will provide administrative, operational and secretariat support to ensure engagements, meetings and partnership activities are delivered professionally, efficiently and in alignment with the organisation's strategic priorities.

 

In addition, supporting the Director/manager in executing administration of office operations, HR matters, and financial management. The role ensures that departmental resources are managed efficiently, policies are followed, and operational support is provided to enable smooth day-to-day and long-term planning.

Responsibilities

 

•    Support the planning and coordination of partnership initiatives with local and international stakeholders.
•    Liaise with government agencies, industry partners, academic institutions and overseas organisations to facilitate engagements and collaborative activities.
•    Maintain positive working relationships with internal and external stakeholders and ensure timely follow-up on partnership matters.
•    Assist in preparing engagement materials, briefing papers, presentations and reports for management and visiting delegations.
•    Coordinate corporate visits, study missions, benchmarking sessions, conferences and stakeholder engagement programmes.
•    Work closely with internal departments and service providers to ensure smooth execution of events and visits.
•    Prepare event schedules, logistics arrangements, programme itineraries and administrative documentation.
•    Monitor event deliverables, timelines and action items to ensure successful implementation.
•    Provide secretariat support for meetings, committees, advisory panels and stakeholder engagements.
•    Coordinate meeting schedules, prepare agenda papers, record minutes and track follow-up actions.
•    Maintain proper records and documentation of meetings, partnership agreements and engagement activities.
•    Support the preparation of management reports, updates and presentation materials.
•    Assist in monitoring project timelines, deliverables and milestones for partnership and engagement initiatives.
•    Coordinate inputs from various departments to support project implementation and reporting requirements.
•    Track progress of initiatives and follow up on outstanding actions with relevant stakeholders.
•    Support continuous improvement efforts by identifying opportunities to enhance processes and stakeholder engagement practices.
•    Provide support to other ad-hoc projects, cross-functional initiatives and team members as required
•    Contribute to overall team effectiveness by sharing best practices, supporting peak workloads, and fostering a collaborative working environment.

Qualifications & Work Experience

 

•    Bachelor's degree in Business Management or related field; professional certification is advantageous. 
•    Minimum 3 years of experience in operational or management role, preferably with experience in stakeholder engagement, partnerships, events management, 
•    Experience in business planning process in an operational or regulated environment is desirable. 
•    Ability to think strategically and apply critical thinking to challenges and opportunities.  This may involve troubleshooting technical problems, resolving conflicts, or adapting to last-minute changes.
•    Ability to work as part of a team and contribute to a positive work culture.

•    Strong organisational and coordination skills, with the ability to manage multiple priorities and stakeholders simultaneously.
•    Good stakeholder engagement and interpersonal skills, with the ability to build positive working relationships across all levels.
•    Strong written and verbal communication skills.
•    Meticulous, resourceful and detail-oriented, with strong follow-through and execution capabilities.
•    Ability to work independently and collaboratively in a fast-paced environment.
•    Adaptable and proactive, with good problem-solving and project coordination skills.
•    Proficient in Microsoft Office (including Word, Excel, PowerPoint, PowerBi). 
•    Familiarity with digital tools and Artificial Intelligence applications is advantageous.
•    Comfortable working with stakeholders from diverse cultural and professional backgrounds.
