HR Administrator, Recruitment Shared Services (1 year contract)

 

Job Purpose

 

The HR Administrator, Recruitment Shared Services, plays a crucial role in supporting the transactional tasks for recruitment and onboarding process. You will collaborate with the stakeholders to process the candidate’s recruitment and onboarding accurately and timely based on the requirements and business needs.

Responsibilities

 

  • Perform quality mass operational duties using appropriate resources and follow-up promptly with the onboarding activities, from issuance of offer letters till first day of work.
  • Review new hires’ documents to ensure compliance to recruitment standards and policy
  • Ensure timely and accurate updating of system records based on company requirements
  • Coordinate and facilitate Day 1 onboarding activities (e.g. administrative briefings, point of contact for new hires) to provide a positive Day 1 experience
  • Assist with work permit matters as required, ensuring compliance with relevant regulations and timelines
  • Support system testing activities, including participation in User Acceptance Testing (UAT) for recruitment and onboarding-related systems and processes
  • Build strong and amicable working relationship with internal and external stakeholders to ensure recruitment and onboarding service standards and goals are met
  • Any other additional roles and responsibilities related to the support of recruitment and onboarding efforts.

Qualifications & Work Experience

 

  • Minimally NITEC qualification, with at least 2 years of experience performing administrative duties

Skills

 

Technical skills include:

  • Comfortable with large volumes of follow ups and administrative duties
  • Familiar with Microsoft Office applications. Experience in SuccessFactors is an advantage

 

Generic skills include:

  • Good interpersonal skills and ability to communicate with different group of people – candidates, hiring manager, etc.
  • Self-motivated, creative, energetic, and able work under pressure
  • Able to deliver timely, accurate, thorough, and high-quality work in challenging situations
  • Able to multi-task and work well in a structured corporate environment
