Ops Specialist, Budget & Documentation

Job Purpose

 

The Operations Specialist supports CCL Operations departments in all matters related to procurement, projects, fixed assets, and budget.

Responsibilities

 

  • Provide administrative support, including liaising with internal and external parties.
  • Work collaboratively with CCL Operations departments on management of suppliers, supply/demand planning, inventory management and order fulfilment.
  • Conduct end to end procurement processes from request to supply, including coordinating RFQ & Tender, in accordance with procurement policies and procedures (via SAP & Ariba system).
  • Maintain office supplies and general inventory,
  • Perform monthly review of overall budget vs actual spending to determine reasons for variance.
  • Work closely with various stakeholders in ensuring timeline and accuracy in their annual budget planning & reporting.

  • Track and update all fixed assets movements such as additions, transfers, condemnation, and disposals.
  • Conduct inspection of all fixed assets annually.
  • Maintain proper documentation and filing systems.
  • Perform the role of FRT (Fast Response Team) member during train service delay or disruption in CCL.
  • Undertake any other duties assigned by supervisor(s) when required.
  • Every member of staff in Circle Line is responsible for their own as well as their team’s safety. Staff shall uphold the CCO Safety Mission and 3 principles to complete tasks, perform duties, fulfill the goals of the organization, and adhere to individual roles and responsibilities.

 

Qualifications & Work Experience

 

  • Diploma in any discipline.
  • Fresh graduates from polytechnics are welcome to apply.

  • Team player with good interpersonal skills and a positive attitude.
  • Ability to take initiative and work independently with minimum supervision.
  • Ability to multitask while delivering quality work.
  • Ability to perform crowd control duties during train disruptions or events.
  • Proficient in Microsoft Office.
