Senior / Executive, Property Management Office
Job Purpose
You will be responsible for the assigned property management of SMRT/BUS/BPLRT/etc. shops, automated machines and short-term lease spaces and others as directed by Manager or Branch Manager.
Supported by a team of executives and property officers, and Engineers/Technicians you are required to plan, formulate, manage and oversee as follows:
Responsibilities
Tenant Management:
- Lead the team in addressing tenant maintenance and technical requests promptly.
- Resolve tenant disputes and escalate to senior management as needed.
- Recommend measures to improve the operation and efficiency of commercial spaces.
- Coordinate lease non-renewals, including refunds, reinstatement checklists, and final accounts for utilities.
- Manage the handover and takeover (HOTO) of push carts and tenant assets, ensuring proper records.
- Ensure tenants comply with lease provisions and escalate non-compliance after consulting senior management.
- Prepare incident reports for tenant non-compliance with security or safety standards; present findings at WSSQ sessions when required.
- Maintain awareness of safety and security requirements, ensuring compliance with regulations and policies.
- Coordinate maintenance and tenancy work efficiently across all units.
- Oversee the maintenance of systems across SMRT lines, including fire safety, energy and recycling programs, and portable grease traps.
- Plan staff working hours to ensure 24/7 coverage for emergencies.
- Ensure timely servicing and repair of air-con, kitchen exhaust systems, and other services provided to tenants.
Electricity and Air-Con Charge Administration:
- Maintain records of electricity and air-con charges and related transactions.
- Collaborate with Stellar and other SMRT software for billing management.
- Manage budget for system and equipment replacements, tenders, and procurement.
- Review and consolidate budget submissions for approval.
Tenant Fit-Out/Short-Term Events Coordination:
- Ensure tenant fit-out plans meet guidelines and standards.
- Maintain records of all drawings, plans, and submissions.
- Coordinate the execution of fit-out works, ensuring compliance with relevant authorities.
- Supervise space handover, inspections, and reinstatement work.
- Provide support for short-term events, including communication, coordination, and on-site management.
- Track tenant submissions, providing guidance and clarification.
- Conduct inspections to ensure compliance with approved renovation plans.
- Liaise with prospective tenants on proposals and design submissions.
- Ensure timely completion of tenant renovations and fit-outs.
- Ensure timely submission of modification/alteration works for approval.
Environmental Sustainability:
- Implement environmental sustainability policies for commercial spaces, in consultation with Trains and LRT.
- Manage initiatives related to BCA Green Mark certification and sustainability programs.
- Ensure quality service delivery in coordination with internal departments.
- Conduct regular inspections of commercial spaces to ensure compliance with safety, security, and environmental standards.
- Advise tenants on service quality and operational improvements.
- Monitor compliance with statutory requirements, regulations, and policies.
Commercial Space Asset Enhancement:
- Collaborate on asset enhancement programs for commercial spaces.
- Support station upgrade initiatives to improve connectivity and the commuter travel experience.
Others:
- Perform additional duties assigned by Manager or Branch Manager to improve branch efficiency and productivity.
Qualifications & Work Experience
- Degree in Building/ Facilities Management / Engineering/Infrastructure & Project Management with a minimum of 3 to 5 years of relevant working experience.
Skills
- Self-driven and results-oriented, with strong leadership skills to guide the team to excellence under tight deadlines.
- Excellent written and verbal communication skills to liaise effectively with tenants, internal teams, and stakeholders.
- Attention to detail and a good understanding of the retail/commercial property industry will be an advantage.
- Ability to coordinate multiple priorities, manage resources efficiently, and make informed decisions.
- Strong problem-solving and analytical skills to address operational, technical, and tenant related challenges effectively.
