Executive/Senior Executive, Contract Administration

Job Purpose
To support and drive effective contract administration through structured documentation, accurate record-keeping, and disciplined tracking of contract lifecycles. This role requires a proactive, organised, and detail-oriented individual who demonstrates strong ownership and consistency in delivering quality work.
Responsibilities
• Drafting of Contract.
• Support day-to-day contract administration activities, including maintaining documentation and records.
• Ensure contract records (e.g. agreements, amendments, approvals) are properly filed, organised, and kept up to date.
• Track contract milestones (e.g. expiry dates) and proactively notify stakeholders to plan for contract actions (e.g. renewals, terminations, variation orders).
• Prepare documentation such as payment certificates, contract status reports, and other administrative records.
• Support and collaborate with stakeholders on contract-related matters, including amendments, renewals, and extensions.
• Maintain proper records of all contractual documents and correspondence.
• Follow up on outstanding contractual matters and ensure timely closure.
• Ensure contract documentation processes are accurate, complete, and aligned with internal control requirements.
• Support company initiatives and activities, including participation in continuous improvement efforts (e.g. Kaizen), to enhance processes and efficiency.
Qualifications & Work Experience
• Degree in Business, Quantity Surveyor, Engineering, or related field.
Executive:
• 0–3 years of relevant experience (contract administration or similar).
• Open to candidates with strong organisational skills and willingness to learn.
Senior Executive:
• 4–7 years of relevant experience with the ability to manage contract administration independently.
• Experience working in structured environments with multiple stakeholders is preferred.
